Pillar 02 — Maintenance Triage
Most maintenance requests aren't emergencies, and most emergencies don't announce themselves clearly. APM reads the request the way an experienced maintenance supervisor would: it asks the follow-up question, looks at the unit's history, and decides what happens next.
Residents describe the problem in their own words. APM asks for the photo, the model number, or the location that actually determines the fix.
P1 through P3 assignment uses your own SLA definitions, plus habitability rules, weather, occupancy, and whether the unit has an open related work order.
Trade match, coverage area, current load, insurance expiry, and historical first-time-fix rate all factor into who gets the job.
Tripped GFCI, jammed disposal, thermostat batteries, reset breakers. Roughly one in six requests closes with a walkthrough and no truck roll.
Four calls about the same building-wide water issue become one work order with four notified residents, not four dispatches.

Fourteen days is the median from kickoff to cutover for portfolios under 5,000 units, and it's the number we commit to in writing. Days one to three are the PMS connection and a read-only data sync. Days four to eight are policy work: your SLA definitions, spend caps, escalation paths, and voice. Days nine to twelve APM runs in shadow mode against live traffic so you can compare what it would have done to what your team did. Day fourteen you cut over. Larger portfolios with heavy customization run three to five weeks.
APM ships bi-directional connectors for the major property accounting and operations platforms used by third-party managers and institutional owners, covering units, leases, residents, owners, vendors, work orders, and the general ledger. Where a native connector doesn't exist, we integrate through the system's REST API or a scheduled file exchange — that path adds about a week. We'll tell you exactly which category your system falls into before you sign anything.
It will not sign or modify a lease, approve a concession beyond your policy, authorize spend above your cap, make a fair-housing determination, deny an application, initiate eviction proceedings, or move money. It will not respond at all to a resident who raises a legal threat, a habitability complaint your policy flags, or a safety issue — those route straight to a person with the conversation attached and nothing sent first.
Yes. APM identifies itself in the first message of every conversation and any resident can ask for a person at any point, which routes immediately. We've found disclosure has no measurable effect on resolution rate — residents care that the answer came in ninety seconds, not who typed it. Recording and disclosure language is configurable per state to match your compliance requirements.
It says so and escalates. APM is tuned to hand off rather than guess: if confidence drops below your threshold, if the question touches an unconfigured policy, or if the resident's request has no precedent in your portfolio, the conversation moves to the review queue with a summary and a suggested reply your team can send in one click. Roughly 6% of conversations end this way, and that number falls as your policies fill in.
Not in any deployment we've run. What changes is what those roles spend the day on. Leasing agents stop chasing voicemails and start running tours that are already qualified. Service coordinators stop reading intake paragraphs and start managing vendor performance and the genuinely hard calls.
